Linking Identities
Overview
When using xpna across different Microsoft accounts (such as a work email and a personal email), identities can be linked together. This allows the same xpna account to be accessed regardless of which Microsoft account is currently signed into Excel.
This is particularly useful when:
- Multiple Microsoft accounts are used across different devices or contexts
- A work email is used for Office 365 but a personal email is preferred for xpna communications
- Collaboration is needed between different Microsoft identities while maintaining a single xpna account
How to Link an Identity
The process of linking an identity involves generating a login code from the xpna web application and then redeeming that code in Excel.
Generate the Login Code
- Open the xpna web application at https://xpna.app/
- Log in with the account that should be the primary identity for xpna
- If already logged in, verify that the correct account is being used by checking the account information in the bottom-left corner
- If the wrong account is displayed, log out and log back in with the correct account
- Click on the account initials in the bottom-left corner of the screen
- Select "Generate Code" from the menu
- Follow the prompt to send a login code to the email address associated with the account
A 6-digit code will be sent to the email address.
Redeem the Code in Excel
- Open Microsoft Excel and ensure the xpna add-in is loaded
- If the Excel session is using a different Microsoft account than the one used to generate the code, this is the account that will be linked
- If the Welcome screen is displayed (because the Microsoft Office account is not recognized by xpna), enter the code in the code entry field
- If already logged into xpna with a different workspace, the code can be entered through the onboarding screen
After the code is entered and validated, the Microsoft account used in Excel will be linked to the xpna account.
Verify Linked Identities
To confirm that identities have been successfully linked:
- Open the xpna add-in in Excel
- Navigate to the Help section from the task pane
- At the bottom of the Help screen, the primary account and any linked accounts will be displayed
Note:
If the email address for the invitation or login code does not match the currently signed-in Microsoft Office account, a prompt will be displayed to confirm whether to proceed with the current account or switch to the correct one.
Switching Microsoft Accounts in Excel
To use xpna with a different Microsoft account:
- Use the account management badge in the top-right corner of Microsoft Excel
- Sign in or switch to the desired Microsoft account
- Restart Microsoft Excel to ensure the newly selected account is properly associated with the active session
Note:
Restarting Excel is required because Excel continues to provide the previously logged-in user to xpna until the application is restarted.
Troubleshooting
If issues are encountered when linking identities:
- Verify that the correct account is being used in both the web application and Excel
- Confirm that the login code has not expired (codes are valid for a limited time)
- Ensure that Excel has been restarted after switching Microsoft accounts
- Check that the email address associated with the code matches the expected account
